Privacy policy

This policy explains how TeacherOS collects and uses your personal data, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

TeacherOS ([Add your company name and registered address]) is the controller of the personal data described here. You can contact us using the details on the Contact page.

What we collect

  • Account details: your name, email address, school (if you add it) and a securely hashed password.
  • Induction details you choose to add: your ECT year, induction start date and mentor's name.
  • The lessons, plans, resources, evidence and reflections you create.
  • Usage records: when you use AI generations, so we can apply the monthly allowance.

We do not ask for information about pupils. Please do not enter pupils' names or other personal information about pupils.

How we use it and why

  • To provide the service you have signed up for (contract).
  • To keep the service secure and working properly, and to improve it (legitimate interests).
  • To meet our legal obligations.

We do not sell your data or use it for advertising.

Who we share it with

We use trusted service providers to run TeacherOS, including hosting, file storage and an AI model provider that writes lesson plans, resources and evidence from what you enter. Some of these providers may process data outside the UK. Where they do, we rely on safeguards approved under UK law, such as the International Data Transfer Agreement or an adequacy decision.

How long we keep it

We keep your data while your account is open. When you delete your account, your lessons, files, evidence and account details are deleted. Backups are overwritten within a limited period.

Your rights

You have the right to access, correct, delete and move your data, and to object to or restrict how it is used. You can download all of your data and delete your account from the Account page. For anything else, contact us.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Cookies

We use one essential cookie to keep you signed in. We do not use advertising or tracking cookies.

Changes

We will update this policy when our practices change, and tell you about significant changes.
